📩 Email Automation Flow – Explained
In this video, I’ve demonstrated how our complete automation system handles incoming emails through three scenarios:
Scenario 1 – Email Processing & Classification
- Two emails were sent to business email.
- One requires Human Input and for another response can be generated without Human Input.
- The system analyzes each email using OpenAI to determine if it requires human input or can be handled automatically.
- Auto-processable email: A professional response is generated, and a Trello card is created in the “Draft” list.
- Human-required emails: Slack messages are triggered with a unique ID for action.
Scenario 2 – Slack to Trello Drafts
- Slack replies are monitored for input.
- The human input is combined with the original email to create a final draft.
- Trello cards are created again in the “Draft” list with updated responses.
Scenario 3 – Approval & Email Sending
- Once approved by the user (by moving cards to the “Approved” list), the emails are sent automatically.
- Approved responses are replied to in the original email thread.
- The Trello card is then moved to the “Sent” list.
This system ensures:
- ✅ Efficient triaging of all emails
- ✅ Full owner control where needed
- ✅ Seamless collaboration between tools
- ✅ A clear track of sent and approved responses
